An established and growing trades services business in the building and facilities services industry is seeking an experienced Service Coordinator to join their Maitland-based team.
This is a critical operational role supporting a busy trade services division of approximately 23 team members. We’re looking for someone who can step in quickly on a temporary basis, with a strong potential to transition into a permanent role.
About the Role
Reporting directly to the Operations Manager – Trade Services, you will play a key role in coordinating daily operations across multiple service lines, with HVAC forming a large portion of the workload.
Your responsibilities will include:
Scheduling and coordinating service jobs across the trade team
Filtering and prioritising incoming service requests
Preparing and issuing job quotes
Entering work orders and managing cost allocations
Preparing completed jobs for invoicing
Coordinating communication between technicians, internal teams and clients
Maintaining accurate records and administrative systems
Most work is contracted services, spanning:
HVAC (majority of scheduling)
Building maintenance
Plumbing
Pest services
Specialised cleaning (periodical work)
Hygiene services
Grounds maintenance
About You
To be successful in this role, you will bring:
Strong job scheduling experience (HVAC highly desirable)
Proficiency in Aroflow (desirable but other similar scheduling systems will be considered)
Excellent organisational and time management skills
High attention to detail, particularly with quoting and invoicing preparation
Ability to prioritise and manage competing demands in a fast-paced environment
Confident communication skills with both trades and clients
A proactive, self-sufficient approach
Experience within trades, facilities maintenance or building services environments will be highly regarded.
