About the opportunity,
We are seeking two proactive and capable Medical Receptionists to join the team on a part-time basis (3 days per week). These roles are central to ensuring smooth day-to-day operations.
Medical Receptionist: Responsible for providing high-quality reception and administrative support across the clinic.
Medical Receptionist / Bookings Clerk: In addition to the above, this role has a specialised focus on surgery bookings, coordinating with specialists, patients and day surgery clinics to ensure an efficient and supportive process.
Please note: Both roles are primarily based at the Broadmeadow clinic, however there will be a requirement to travel once a week to either East Maitland or Tuggerah clinics once fully trained.
Key responsibilities
Managing the appointment scheduler, booking, rescheduling, sending reminders, coordinating meetings, and reviewing consultation lists.
Maintaining accurate patient records and documentation.
Liaising with WorkCover Clerk to ensure approvals are received.
Preparing daily banking and reconciliations.
Preparing clinic files and paperwork as per roster.
Processing referrals and incoming correspondence.
Answering phones, filing, and scanning.
Following all business procedures and supporting the Administration/Quality Manager as required.
Additional duties for the Bookings Clerk role include:
Managing and coordinating the procedure scheduler and patient admission forms.
Liaising with day surgery staff, anesthetists and specialists.
Providing patients with pre- and post-operative information packs
Preparing quotes, procedure files and handover lists.
Ensuring confidentiality, security and accuracy of all records.

We are looking for candidates who bring a mix of experience, professionalism, and a genuine willingness to learn. The ideal applicants will have:
Willingness to travel once a week to either Maitland or Tuggerah clinics
Previous experience in a medical or specialist administration role
Excellent communication skills and the ability to work effectively in a team
Familiarity with Genie or Gentu software (advantageous but not essential)
For the Bookings Clerk role – prior experience in theatre or hospital bookings, or within a specialist practice
