About the Opportunity

This is a great opportunity to utilise your strong administration and coordination skills alongside your facilities management background. Reporting to the Head of Infrastructure, in this role you will provide high-quality and efficient facilities management services for HMRI’s world-class facilities. This position is responsible for coordinating building maintenance, managing contracts, contractor management, management of the online Facility Management System, support for event set- up as well as being the go-to for all facilities related ad hoc tasks!

This is a fantastic opportunity if you love a practical, on-your-feet role mixed with administration. You will likely have a systems background, been involved in contract administration and vendor management, with a natural high level of attention to detail.

  • 2+ years’ experience in an end-to-end Facilities Management role which includes contracts management, performance, and administration

  • Experience with accounts with the ability to collaborate with finance to follow appropriate processes

  • Experience with capital, preventative, and reactive maintenance programs

  • Understanding of disaster recovery and business continuity planning

  • Management of Facility Management Systems and processes ensuring ongoing business process improvement, data integrity and accurate file management.

  • Understanding the functions of Reception and ability to oversee operational aspects

  • Ensure records are updated and maintained for all equipment maintenance, calibration and change control records and consumable requirements

  • Participate as a key member of the Infrastructure team cascading call-out list to ensure 24/7 coverage of building issues resolution management.

About you

To be successful in this role you will be an experienced administrator that is able to coordinate and collaborate with multiple internal and external stakeholders.

You will be a people person and enjoy engaging with a range of stakeholders from cleaners to scientists, with an adaptable working style that thrives in an environment that offers variety and shows initiative to get solutions. With a curious mind, you search for solutions and won’t be afraid to get hands-on when required.

If you have had exposure to facilities involving controlled, clean environments, biohazards, laboratories this will also be well-regarded
