The Executive Assistant to the Director – Catholic Schools will operate within a collaborative, values-driven environment, supporting senior leadership to deliver strategic priorities and system-wide initiatives across multiple campuses and teams.
About the opportunity
This is a high-profile, trusted role providing executive-level support to the Director. You will act as a professional gatekeeper, managing competing priorities, facilitating smooth operations, and ensuring governance and reporting obligations are met. You will coordinate projects, prepare reports, and support operational and strategic initiatives across the organisation.
Key Responsibilities:
Provide high-level executive and administrative support, including diary management, travel coordination, correspondence, and meeting preparation.
Prepare board papers, committee documentation, briefings, and reports to a professional standard.
Act as the first point of contact for the Director, always exercising discretion and confidentiality.
Support system-wide improvement initiatives, track project deliverables, and streamline processes to enhance operational efficiency.
Collate, analyse, and prepare data, reports, and briefings to inform executive decision-making.
Liaise with internal and external stakeholders, ensuring professional and effective communication.
Implement and maintain office systems, digital records, and compliance processes.
About you
Proven experience providing high-level executive support in a complex organisation.
Exceptional organisational, time management, and multitasking abilities.
Strong interpersonal and communication skills, with the ability to build and maintain relationships across multiple levels.
Demonstrated ability to handle confidential information with discretion and integrity.
Advanced ICT skills including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), SharePoint, and other business systems.
Relevant qualifications (Certificate IV or Diploma in Business Administration or equivalent experience).
Current Class C driver’s licence.
Desirable:
Experience supporting senior leadership in an education or multi-site environment.
Proven ability to implement and improve administrative systems and processes.
