Job Description
The Westpac Rescue Helicopter Service is a not-for-profit organisation providing world class aeromedical, search and rescue services, free of charge to those in need 24/7. With more than 40 years of proud history, the Service now operates from three bases in NSW (Belmont, Lismore, Tamworth) with aircraft maintenance, engineering, and support teams in Broadmeadow.
Due to an internal secondment, we are seeking an experienced Executive Assistant, for approximately 21 hours per week, (Monday Tuesday, Wednesday, with the flexibility to switch to a Friday occasionally) to join the team for a period of 6 months, ideally commencing 8th November.
Responsibilities include, but are not limited to:
Coordination of all Board-related, committee and senior management team meetings, including minutes, papers, and correspondence (occasional board meetings held outside of hours)
Coordination of internal and external communication from senior management team
Manage reward and recognition newsletter and ongoing service awards
Records management
Assistance with data transfer for upcoming IT projects
General administrative support to the senior management team
To succeed in this role, you will have:
Proven experience providing a high level of administration support to senior managers
Solid capability utilising SharePoint, Microsoft Teams, Word, Excel, Adobe Pro and Outlook
Strong organisational and project management skills
Excellent written communication skills and ability to effectively take minutes
Highly developed stakeholder management skills
Previous experience supporting Board processes (preferred)
